Set Spam filter preferences and manage spams
Set Spam filter preferences
To access the user control panel within WebMail, kindly navigate to the top right-hand corner of the screen and select the Control Panel link, followed by the Access Control Panel button. Once clicked, you will be automatically logged in to your user control panel. It is important to ensure that your browser does not block any pop-ups and to allow them if they do occur. For Enhanced accounts, a Control Panel link can also be found within WebMail, similarly located in the top right-hand corner of the screen.
You can also access the user control panel directly:
Go to https://inspedium.email/
Log in using your full e-mail address and current password.
After logging in and click on Filtering, on the top bar, the options are:
Accept e-mail from:
1. Everyone, Whitelist & Address book
The default setting permits all messages to reach you. Additionally, we will discuss a further option that allows you to choose whether to direct spam messages to your spam box; however, this option is dependent on the default setting.
2. Whitelist & Address book
This option only allows messages present in the Whitelist & Address book to reach the Inbox, the rest will be sent to your spam folder.
3. Blacklisted Messages
Regarding messages from senders who are on the user’s or domain’s blacklist, the default action is deletion. However, an alternate option is available where such messages can be directed to the user’s spam folder.
4. Enable autowhitelist
Every email sent from this email account has the recipient’s address added to the domain’s auto-whitelist. However, this feature can pose a potential risk in the event of a user account being compromised and spam emails being sent out to recipients, who would then automatically be added to the domain level auto-whitelist. This auto-whitelist can be accessed in the admin panel under Filtering > Auto-Whitelist and may require cleanup. It is important to note that this feature is enabled by default.
Send spam to
this controls what happens to messages which are identified as Spam.
- Spam folder: Places the Spam messages in the Spam folder
- Deliver to Inbox: Delivers the Spam messages to the Inbox, basically same as disabling anti-spam for this user
- Delete: Deletes the Spam messages
5. Filter sensitivity
The filtering system can be customized on a scale ranging from 1 to 10, with 10 being the most restrictive and 1 being the most permissive. However, the default setting of Regular Sensitivity is deemed suitable for the majority of users.
6. Keep Spam for
How many days to keep the Spam messages in your Spam folder.
7. Send Spam E-mail Report every
This setting allows you to specify the frequency at which you receive a summary of spam messages that have been detected and trapped over the past few hours. The default frequency is set to every 12 hours, but it can be disabled if desired. Upon receiving the report via email, you can conveniently click on the item in the Via column, which will open up the user panel and enable you to deliver and whitelist the email or sender, deliver the email only, or delete it. Additionally, clicking on the sender in the From column will allow you to preview the email in the browser.
8. Spam E-mail Report Format
Lets you choose the format of the Spam Report message. Default is HTML and TEXT.
9. Detect Forged From
Creates a rule for user which checks if SMTP authentication has not occurred when the sender’s e-mail address of a received e-mail is the same as the recipient account’s address. Such messages are moved to user’s spam folder. Click here for our wiki page about this topic.
After making any changes, click on the Update Settings button.
Managing spams
It is important to note that email accounts are equipped with a designated folder labeled as “Spam”, where messages identified as spam by the system are automatically relocated to. This folder can be accessed through WebMail or an email client that is set up with your account as IMAP, which may require subscribing to the Spam folder by right-clicking the account root in your email program. If you use POP (not recommended), spam reports (explained below) can be utilized to release messages that have been incorrectly identified as spam (false positives). In this case, you may log in to WebMail and view the Spam Folder, subsequently moving any false positives to your inbox.
Spam reports direct you to the user’s control panel Spam quarantine and are the preferred method for releasing false positives. With spam reports, you can automatically deliver the email and simultaneously add the sender to your whitelist.
Spam reports and Spam Quarantine
The system sends an email to the user’s inbox every 12 hours, by default, summarizing the emails that have been identified as spam and moved to the “Spam” folder. This feature is particularly useful for those who use POP accounts with an email client, as the spam folder is not visible in that case unless accessed through WebMail.
The emails containing the spam reports are sent from the sender “Spam Monitor” and contain a Via column for each email listed. Clicking on this column opens the user’s control panel, where they can log in using their email address and password to access the Spam Quarantine section. Within this section, the user can view a list of all spam emails in the Spam folder and change the criteria for their display, such as viewing by date or filtering by text in the From, Subject, or Unique ID fields.
The user can preview the content of each email by clicking on the From or Subject column of any listed email. Each email also has a checkbox next to it, which can be used to select multiple emails and take actions such as “Deliver & Whitelist,” which delivers a message incorrectly detected as spam to the inbox and adds the sender to the whitelist. Other options include “Blacklist & Delete,” which blocks and deletes the emails, reducing the number of spam emails received, and “Delivery only,” which delivers the email to the inbox without adding the sender to the whitelist. It is important to be cautious with the “Blacklist & Delete” option as some spam emails may have a forged FROM address, which could potentially block legitimate senders. To check each sender’s FROM address, the user can roll over the From field of each email listed.
